Transmit and retrieve source documents in a 1040 tax engagements

For licensed users of Accounting CS Workpapers
The Source Document Processing service isn't automatically included with Software as a Service (SaaS) access. The service includes either a per-file fee or an annual renewable fee for unlimited access. For pricing details, contact your CS Sales representative.
Do the following to transmit and retrieve source documents in a 1040 tax return engagement.
  1. Right-click the
    Source Document Processing
    folder then select
    Add Workpaper
    to open the Add Workpaper Wizard.

    The
    Source Document Processing
    folder is automatically created in the Engagement Binders Tree view when you create a binder for a 1040 tax return engagement client.
  2. Select
    External
    from the dropdown in the
    Source
    field of the
    Workpaper Type
    screen.
  3. Enter or browse to the location of the PDF that you want to insert into the
    Source Document Processing
    folder. You can add a single PDF file containing all of your client's source documents to organize and process everything at the same time.
  4. Mark the checkboxes next to the PDFs to process then select
    Next
    .
  5. Update the fields in the
    Workpapers Properties
    screen as needed, then select
    Finish
    to insert the PDF into the
    Source Document Processing
    folder.
  6. Right-click the
    Source Document Processing
    folder and select
    Transmit/Retrieve
    .
    note
    • You can use the
      Source Document Processing Status portlet
      to transmit and retrieve multiple source documents at the same time.
    • You can right-click the
      Source Document Processing
      folder and choose
      Transmit/Receive
      at any time during the process to display information about the status of document processing.
    • You can right-click a source document during transmission and choose
      Cancel Processing
      to safely end the process.
    • Based on bandwidth and network traffic, processing times can vary from 5 minutes to 10 minutes for every 100 pages.
  7. After a few minutes has elapsed, right-click the
    Source Document Processing
    folder and choose
    Transmit/Retrieve
    . Source documents won't be automatically retrieved when they're finished processing.
  8. When the PDF has been received back into the engagement, the source document's status changes to
    Waiting to organize
    . Right-click the PDF and choose
    Organize Source Documents
    to distribute the single-page PDFs into individual folders in the Engagement Binders Tree or at the base-level below the engagement binder briefcase icon. Repeat these steps for each PDF source document file.
  9. Transfer 1040 engagement client source document data to UltraTax CS via the UltraTax CS Source Data Entry utility.

  • You can customize the sort order of source documents in the Engagement binder tree in the
    Preferences

  • Folders are automatically created in a blank engagement within the Engagement Binders tree for source documents that are ready to be organized and associated with a specified folder that is defined in the
    Source Document Processing sort options
    window (accessed from the
    Preferences
    ٲ
    Setup
    Firm Information
    Firm
    ).
  • The organize process doesn't move source documents from 1 folder to another if source documents already exist in a different binder or at the top level of the engagement. You can drag and drop existing documents to reorganize them in the engagement binder as needed.
